Whalley Golf Club Limited General Data Protection Regulations (GDPR) Compiance

In accordance with the recently extended clauses in GDPR we, Whalley Golf Club Limited, are required to inform you, members and staff, of all the personal details we hold about you.
These details include your address, email address, phone numbers, age and sex. Banking details are only held of employees along with working pension, National Insurance number and to meet HMRC requirements. These staff details are necessarily held by our accountants, who are equally governed by the GDPR.
We need these details to be able to communicate with you all concerning membership renewal, AGM/EGMs, and information relating to both golf and social activities within the club.
No details will be held relevant to race, ethnicity, politics, religion, philosophy, genetics, trade union membership, biometric data, health, sex life or sexual orientation except with special individual consent, requiring signature confirmation. Example – medical evidence for use of a buggy.
On resignation from the club the details will be held on the system for up to 2 years or until any debt to the Company of WGC Ltd has been settled.
Information of name, gender and year of birth are necessarily shared with England Golf and associated organisations, (ELGA, ELLGA, LUGC, LLCGA) to whom WGC pays membership fees. This information is required to monitor and run the Central Database of Handicaps (CDH).
The Honorary Secretary, on completion of verification checks for DBS purposes, of individuals who regularly volunteer to assist with the Juniors, will destroy/delete all extra details necessarily acquired when valid certification has been received.
Key personal details, name, address and possibly next of kin may be passed to a third party in case of medical emergency.
Members will be informed of any change in the way details are held.
No details will ever be passed to a third party for advertising purposes.
When any payment is made to the club by Debit or Credit card no personal banking details are accessible. The club’s card service provider (Worldpay) and your card provide should be consulted for their privacy policies.
You are entitled to access your own personal information held by the club by contacting the secretary.
The club does not collect or distribute any personal data of individuals visiting our website. Any information collected does not identify individuals. When using Cookies the club does not gain any personal information. Notification of any future systems of data collection/storage engaged by the club will be posted on the website.
When using the club’s Wi-Fi no attributable data is accessed by the club.
Individuals have the right to complain to a supervisory authority, namely the Information Commissioner’s Office, www.ico.gov.uk.
